Smith Operations


The Office of Smith Operations, located on the second floor of Van Munching Hall (VMH) Suite 2101, provides the daily facilities and operations to support faculty, staff, students, alumni, and visitors for the Robert H. Smith School of Business. Smith Operations also serves as the first point of contact for many external visitors (student, faculty, and business professionals) to the Smith School.

In addition, some of the services offered by the office of Smith Operations include but are not limited to: 

  • Business card orders (faculty & staff only)
  • Cell phone plan changes & hotspot service only; cell phone orders should be submitted through Smith IT
  • Disability Support Services (DSS) for exams (faculty members or department coordinators only)
  • ID card access (classrooms, conference rooms, offices, suites, etc.)
  • Keys for offices (faculty, staff, student groups, etc.)
  • Lost & found
  • Mailroom
  • Maintenance & repair issues for Van Munching Hall
  • Supplies
    • Office supply orders
    • Testing supplies: Scantron & exam booklets (faculty & department coordinators only)
    • Stationery - letterhead, envelopes, name tags, notepads, etc.

Monday through Thursday 8 a.m. to 5 p.m. (Office is staffed by UMPD auxiliary staff 5 - 10 p.m. for emergencies, building issues & access or general staffing)
Friday 8 a.m. to 5 p.m.

Summer

Monday through Friday 8 a.m. to 5 p.m.

Reservation Requests for Smith School (non-academic only)

All Smith School (offices & groups) reservation requests MUST be submitted through the Smith Scheduling System. Please email rhsmith-rooms@umd.edu for any issues with access to this system.

Additional Scheduling Request Forms
Some program and event locations are not available to request in the Smith Scheduling System. Event requests must still be submitted at least four-(4) weeks prior to the proposed dates or they will not be approved.  When requesting these spaces, please use the links below:

Tables (limited 6-foot tables are available on a first-come, first-served basis)

Tables are to be picked up and returned by the office or group to the Office of Smith Operations storage closet and a representative should come to our office 2101 VMH or call 301-405-2189 to have a member of our team to escort you or meet you at the table closet.

Requests for All Non-Smith School groups and offices (non-academic only)

All Non-Smith School groups and offices should email reservation requests for Smith School venues (Van Munching Hall, Reagan Building & BioPark) to the Smith venues team.

Services

Business Cards

Faculty and staff wishing to order business cards should fill out this online business card order form. Please allow 3-4 weeks for delivery.

Supply Request

Faculty and staff wishing to order supplies should fill out this online supply request form. Please refer to your Guy Brown or Rudolph's catalog when placing the order.

Mail Distribution

Mailboxes for all faculty, instructors and program offices and centers are located in room 2131. Mail is picked up and delivered by the University Mail Services twice daily, at approximately 10 a.m. and 2 p.m. Incoming mail is distributed to mailboxes by the staff of Smith Operations promptly upon delivery. Shady Grove campus mail is picked up and dropped off in room 2131 each Monday, Wednesday, and Friday.

The 2131 Mail Room is secured and must be accessed with either an app on your Android or Apple device or a physical card. This new access system is part of a campus initiative that Smith is piloting. You may either download the app or your department may request a card at a cost of $20. You must come to our office in person to complete the app setup. Please make an appointment by emailing smith_operations@rhsmith.umd.edu with the following:

Email Subject: "Lenel BlueDiamond Mobile Badge Access for 2131 VMH Smith Mailroom"
Body of Email: Include name, dates, and times available for an appointment (8:00 AM to 5:00 PM Monday through Friday)

Alternatively, departments may submit an official request to smith_operations@rhsmith.umd.edu with the following:

Email Subject: "BlueDiamond ID Card Request for <Department Name>"
Body of email should include the following:

  • Department listing with first & last names (faculty/staff only)
  • UID number for each person
  • KFS account number

All incoming packages are logged into a daily journal by the staff of Smith Operations. Like other mail items, packages are placed in the mailboxes upon delivery. However, written notices are placed in the mailboxes for items too large to fit.

Acceptable outgoing mail includes stamped mail, express mail, bulk mail, international mail, and regular first and third-class mail. Stamped mail and regular first and third-class mail may be placed in the outgoing mail bins in room 2131. Currently, UPS provides express mail services to the college. Outgoing UPS packages should be placed in the drop box at the top of the stairs on the second floor near the MBA Recruiting Office.

For special instructions and restrictions on outgoing mail (specifically express mail, bulk mail, and international pieces weighing over 1 lb.), please see the staff of Smith Operations or contact the University Mail Services at x5-4473.

Supplies Warehouse

Smith Operations stores and distributes immediate-use office supplies to faculty and staff. To request supplies to stock for your department, please submit a completed Supplies Request Form to Smith Operations. These forms are available in 2101 or fill our online request form. Requests for supplies are fulfilled within approximately 24-48 hours.

Smith Operations will coordinate business card, letterhead, envelope, and other printing orders with our printers (University Printing). To request business cards or other printed items, please forward the desired text to Smith Operations or fill out the online request form. Generally, printed items are delivered within three weeks.

Instructional Aids

Exam booklets and Scantron forms are also available from Smith Operations. Scantrons are processed by the Department of Academic Information Services of the College of Computer and Space Sciences. Please contact AITS at 5-2934 with questions regarding this process.

Teaching Evaluation Administration

Teaching evaluation packets are compiled and distributed by the staff of Smith Operations with oversight from the Teaching Enhancement Committee. Teaching evaluations are administered each semester during the last two weeks of classes. Each semester, all faculty receive a letter from the Office of the Dean which outlines the procedures and dates of administration for the evaluations.

Facilities Management

The staff of Smith Operations is responsible for placing all service calls to Facilities Management. All requests pertaining to office keys, nameplate requests, office moves, furniture, and telecommunications equipment should be directed to Smith Operations. Any problems or concerns with classroom or building maintenance should be directed to Smith Operations. Facilities Management is immediately notified of any problems; response time varies depending on the situation. For building emergencies after hours, please call 301-405-2222.
