This is intended to serve as the first point of reference for those planning events in Van Munching Hall. It is intended to help promote thinking of all components and resources necessary to plan a successful event. There are many resources available at the Smith School and on the University of Maryland campus. This was created in an effort to provide one resource for information for planning meetings, conferences, receptions and other events. Any outside vendors listed are suggestions for your consideration and not endorsements of any specific vendor.
Office of Smith Programs and Events
The Office of Smith Programs and Events is your first stop in planning any event in for the Smith School. The Events team is able to assist you in all areas of planning for your meeting, conference, reception, event, etc.
The event is a representation of the entire Smith School and the University of Maryland. The Office of Smith Programs and Events is available to assist you in making sure your event makes the lasting first impression on your guests. In addition, you are able to focus on the content and program aspects for your event while all logistics are taken care of by the people who do it everyday.

Office of Development and Alumni Relations
The Office of Development and Alumni Relations should be consulted for any event that will bring alumni, corporate friends, corporate partners, elected officials, government officials, members of Smith School and/or University of Maryland board members and other external constituents to the school. The Office of Development and Alumni Relations is engaged in many strategic initiatives with local and national companies to further the Smith School’s relationships. A quick consultation with DAR can ensure that existing relationships with companies and individuals will be enhanced by your event and that important relationships and strategies are not overlooked. In addition, when bringing external constituents into the building it’s important to understand that your event is more than a representation of your department.

Office of Marketing Communications
The Office of Marketing Communications should be consulted regarding the marketing of both your external and internal constituents. The office uses various tools to position the school within brand standards, including an emphasis on Globalization, Entrepreneurship and Technology. These tools may include: direct mail; Web marketing; marketing publications (electronic and print – with ample notice given), advertising; media relations; creating strategic alliances; video production; some photography (with ample notice and shot list provided) and events management and marketing.

Office of Career Services
The Office of Career Services (OCS) has earned national distinction for its innovative approaches to delivering outstanding career services to students and alumni. On-site and virtually, the partnerships with best-in-class coaching and job placement organizations enable graduate, undergraduate and alumni populations to maximize their career potential. The Office of Career Services should be consulted when an event you plan involves an employer doing any recruiting or if you are doing a career related event.

Office of Smith IT
The typical functions that Smith IT Staff are able to support are lectures, visual presentations, conferences and general meetings. Some important things to be aware of:
- Any group using the Audio Visual equipment in the facility must make prior arrangements with Audio Visual Services for instructions and training on the utilizing of the equipment.
- Any Non-Smith School group planning on using the technology available in the spaces in Van Munching must first have approval by the management of Smith IT.
- Any support needed outside of regular business hours, or that create greater demands than usual on our support team during normal business hours will be subject to a fee to be set by Audio Visual Services Management.

Please consult Smith Operations for assistance in planning movement of furniture, room cleaning, room access, or other building related issues. They also have a small number of 6’x36” rectangular tables that can be signed out for use.

The Smith Store
The Smith Store is a student-run organization dedicated to providing students with practical, hands-on management experience who in turn, help to promote the Smith brand. In addition to managing a full-service e-commerce site (www.thesmithstore.com), the Smith Store holds occasional sales in Van Munching Hall throughout the year. The Smith Store should be your first resource for ordering gifts for VIPs, speakers, panelists, etc. They can assist with Smith School items for same day purchase as well as other items in large quantities for group needs.
